Compliance

Six bodies can cost you dearly. None of them will remind you.

A competency card that expires in the middle of a long contract. A licence not renewed. A late remittance. These aren't competence errors: they're follow-up that one person cannot keep up with while running five job sites.

BatiCore Compliance module

One screen

A score, alerts, and the exact date of every deadline

Each obligation is either compliant, or shown in red with the action to take and the time left. BatiCore alerts you before the deadline — not the day after it expired.

  • RBQ licence: categories, sub-categories, renewal date
  • CCQ competency cards, tracked employee by employee
  • CNESST file: statement of wages, incidents, forms
  • GST and QST remittances per your filing frequency
  • Bonding, insurance and inspections
  • Law 25 registers and confidentiality notices

The detail

What BatiCore watches, body by body

RBQ

Régie du bâtiment du Québec

Your licence conditions your right to bid. BatiCore keeps its number, its categories and its renewal date — and prints the number on your estimates and invoices without you having to think about it.

  • Renewal date tracked, with an alert 45 days ahead
  • Licence number printed automatically on contract documents
  • Warranty plan mention on new residential work, with a reminder if the box is left unticked
  • Categories and sub-categories on file; continuing training of the qualified officer; bonding
CCQ

Commission de la construction du Québec

Competency cards expire one after another, never all at once. That's exactly the kind of date a spreadsheet doesn't remind you of.

  • One card expiry tracked per employee, not a global date — reminders at 90, 60 and 30 days
  • Trades and occupations recorded on the employee file
  • Payroll preparation under the collective agreements, for guidance; 13% indemnity tracked
  • Timesheets approved before payment; monthly report prepared from attendance
  • Defensible hours: every clock-in is time-stamped and tied to a job site
CNESST

Commission des normes, de l'équité, de la santé et de la sécurité du travail

An accident has to be reported within deadlines. The form fills in faster when attendance, photos and the daily report are already on file.

  • Incident report from the job site, on the phone
  • AATMP form prepared for transmission after an accident; real deadlines recalled
  • Prevention mechanisms per job site (LMRSST, in force since October 1, 2025)
  • Annual statement of wages entered in the schedule
  • Attendance, daily reports and time-stamped photos kept as evidence on file
  • Subcontractors' certificate of compliance verified before paying them
CRA and RQ

Canada Revenue Agency and Revenu Québec

GST and QST are calculated separately on the pre-tax amount. BatiCore does it server-side, and always recalculates according to the client's exemptions — amounts cannot be tampered with from the browser.

  • GST 5% and QST 9.975%, never compounded
  • Per-client exemptions applied automatically
  • Tax deferred on the holdback for commercial and institutional work
  • FP-500 and GST34 cards with the actual tax collected over the period
  • CSV exports for any period: month, quarter or year
  • GST and QST numbers printed on every invoice; remittance and source-deduction schedule
CAI

Commission d'accès à l'information — Law 25

If you keep your clients' name, address, phone, email or signature — so, if you write estimates — you are processing personal information.

  • Data hosted in Montréal; full export of your data at any time
  • Register of processing, automatic register of anonymizations, register of breaches
  • Person in charge of the protection of personal information designated by delegation
  • Confidentiality notice already carried on the documents sent to clients
  • Hash-chained audit log of access and sensitive actions
  • Obvious contact details masked before anything is sent to the AI

Schedule

All your dates in one place

Fixed dates, everyone eventually knows. It's the other ones — the ones that depend on your company, your employees and your contracts — that slip through.

Fixed by the Québec calendar

The same for everyone. BatiCore enters them for you and warns you ahead.

T4 and RL-1 slipsEnd of February
CNESST statement of wagesMid-March
Construction holidayLate July, two weeks
Year-end and instalmentsPer your fiscal year

Specific to your business — the expensive ones

Nobody can put them in a generic calendar. They depend on your licences, your employees and your contracts in progress.

RBQ licence renewalYour own licence date — alert 45 days ahead
CCQ competency cardsOne expiry per employee
GST and QST remittancesPer your filing frequency
Bonding and insuranceAnnual renewal
Expiring estimatesAlert before expiry
Overdue invoicesLate the very next day

All of these dates land in a single schedule, with a reminder before the deadline — not the day after it expired.

What BatiCore does — and doesn't do

BatiCore tracks your obligations, alerts you before deadlines and prepares your documents and exports. It is neither legal advice, nor an accounting service, nor your agent with the authorities: official filings and transmissions remain your responsibility, with your accountant or advisor. The confidentiality filter applied before AI calls reduces the risk without automatically making you compliant with Law 25 — it is a shared responsibility. We'd rather write it plainly than let you assume it.

Frequently asked questions

When does BatiCore warn me about my RBQ licence?

Forty-five days before the expiry, through the Monday-morning notification bell — and the schedule keeps surfacing it until renewal. Competency cards, on the other hand, each have their own expiry tracked per employee with reminders at 30, 60 and 90 days.

What happens if a subcontractor isn't compliant?

Their record, in the project, shows their RBQ licence and their CNESST certificate with their dates; the Compliance column turns red before you pay them. In Québec, joint liability means a subcontractor's CNESST debt can become yours — checking before payment isn't paperwork.

Does BatiCore transmit my filings to the authorities?

No. It tracks obligations, alerts you before deadlines and prepares your documents and exports — monthly CCQ report, AATMP form, FP-500 and GST34 cards. Official transmissions remain your responsibility, with your accountant or advisor. We'd rather write it plainly than let you assume it.
